Why Use Coupons?

Coupons are a flexible way to offer targeted discounts to your customers. They can be used to encourage registration, support promotional campaigns, offer financial assistance, or reward specific groups such as returning participants or members. With various coupon types available, you can tailor discounts to fit your organization’s needs—whether limiting use to specific programs or registration periods or issuing one-time codes.

Using Coupons in Cogran

Cogran’s Coupon feature allows you to offer discounts based on specific registration periods and programs. Here’s how to create and manage coupons effectively.

How to Create a Coupon

  1. Sign in to the Cogran Office as an administrator.
  2. Navigate to Registration Setup > Coupons.
  3. Click Create New.

Coupon Setup Fields

  • Coupon Code: This is the code users will enter. Keep it short and easy to understand.
  • Status: Set this to Open to make the coupon active.
  • Coupon Type: Choose from the dropdown. Different types will display different options (see list below).
  • Choose one:
    • Coupon Amount: Enter a dollar amount
    • Percentage Discount: Enter a Percentage Discount
  • Expiration Date: Set an expiration date if needed. By default, the coupon will remain valid far into the future.
  • Registration Period: Select the applicable registration period if relevant
  • Program: Choose the specific program within that registration period if relevant
  • Session: Choose the specific session within that registration period if relevant
  • Comments: Use if needed, will not appear to customer

Coupon Types Explained

Each type offers unique behavior:

  • Admin apply variable registration credit: Admin enters the amount after a dash at checkout (e.g., FA-350).
  • Apply to selected registration period and selected program
  • Apply coupon to a session
  • Apply to ALL programs in selected registration period
  • Apply to one session – one-time use
  • Apply to one registration period – one per household
  • Admin apply member pricing
  • Apply credit to ALL programs in order – one per household
  • Apply to order as a separate line item – one-time use (requires existing finance credit)
  • Apply percentage off order
  • Admin apply variable deposit to a payment plan: Admin enters amount after equals sign (e.g., Plan12=100)
  • Single-use coupon for one participant, registration period, and program
  • Percentage off by Registration Period
  • Percentage off by Registration Period and Program
  • Percentage off by Session
  • Admin Use – Change base price of a session during Session Setup (enter code during setup)

Note: Some options are for administrative use only and require manual setup.


Tab 2: Coupon Tracking

Contact: The user or household that the coupon or credit is associated with.

Balance Credit Amount: Shows the remaining amount of credit available to the user. If this is 0, the credit has been fully used.

Date Entered: The date the coupon or credit was originally created or applied (e.g., 2/25/2020).

Date Last Used: The most recent date the coupon or credit was used during a registration (e.g., 3/31/2025).

Net Revenue: The actual revenue collected after applying the discount. A negative number (e.g., -840) indicates that the credit significantly reduced the revenue.

Coupon Total: The original value of the coupon or credit—either a total dollar amount or the total number of uses allowed

Number of Coupons Used: Shows total number of coupons used
