Qualification Levels
The qualification level is added at the program level and at the contact level. For a customer to participate, they must meet or exceed the posted level.
For example, a level 3 swimmer can participate in level 1, 2, 3 programs should they desire. A level 3 swimmer will not be able to register for level 4.
Note that only one level is allowed per participant. If registrants require multiple levels, please contact help@cogransystems for setup assistance.
Programs include name, card, price, age restrictions and discounts. The Prices tab includes options to add member and resident pricing, as well as household, quantity, and early registration discounts, as well as late fees. The Payment Plan tab allows setting up deposits and monthly payments, and the Eligibility tab provides options for restricting registration to age groups, grades, genders, and regions.
After a program is created, then additional choices can be made.
STEP ONE: ADDING A QUALIFICATION LEVEL TO A PROGRAM
- Log into the Back Office
- Registration Setup
- Program
- Search or click Create New
- A modal appears
- Fill out the form that appears. Required fields are on tab one.
- To set up Qualification restrictions, navigate to Tab 4: Restrictions. These restrict registration to participants who meet the criteria set on this form.
- Qualification Level: The Qualification Level is set on the Contact’s profile. Only those participants that have the minimum level will be able to register.
- Save
STEP TWO: ADDING A LEVEL TO A CONTACT
In this instance, it is required that a customer exists!

Update a full class at one time! This makes keeping track of qualifications quick.
- Log into the Cogran Back Office
- Visit the left menu Contact Management, Security and click Contact
- A search form appears
- Enter search criteria, such as a SESSION or INSTRUCTOR/VOLUNTEER NAME, into the search form, then click “Search.”
- A list of contact names populates.
- Toggle to Grid View
- Scroll to Qualification Level
- Choose the level from the dropdown box
- Done!
How to Update a Single Qualification:
- Log into the Cogran Back Office
- Visit the left menu Contact Management, Security and click Contact
- A search form appears
- Enter a name, into the search form, then click “Search.”
- A contact names populates. Unlike in the household search, each contact is listed separately at this level, even members of the same family.
- In list view, click edit to view a modal
- Scroll to Qualification Level
- Choose the level from the dropdown box
- Save
