To restrict registration to participants of a certain age or grade, use the method listed below. This is usually completed during registration setup.

AGE

If a program’s age-group cutoff date is January 1, set the date to January 1 on the Registration Period. Set the age that the participant must be on each program. This is a two-step process so that programs can be created once, then added to registration period multiple times. 

• Registration Setup>Program
  • Search to find the Program
  • Select the edit button.
  • Navigate to the tab Restrictions
  • Check the ages that have been assigned. Update the ages to be correct.

• Registration Setup>Registration Period
  • Search to find the registration period
  • Select the edit button
  • The Registration Period form appears. Navigate to the Registration Dates Tab and check the Age-Group Cutoff Date. This date is the date by which participants must have turned the eligible age.  Note that the year should the the CURRENT year, NOT a participant’s date of birth.

For programs with strict age-group cutoff dates, such as swim programs, the age group cutoff date for the regsitration period can be over-written on the session setup:

• Registration Setup>Registration Session Edit
• Search to find the correct session (restrict by card or registration period if desired)
• Select the edit button.
• Navigate to the tab Registration Override Dates
• Enter the age group cutoff date here. This could be the first day of the program, for example. Note that the year should the the CURRENT year, NOT a participant’s date of birth.

Why is the year of the cutoff this year? The age group cutoff date is calculated by subtracting the date of a child’s birth from the age group cutoff date. So, for a child who must be 10 to participate in a sport with an age-group cutoff date of January 1, 2020, then the age group cutoff date must be January 1 2020. The system does the calculation so that it will define whether a child is eligible based on their specific birthdate.

GRADE

The Grade is entered by the parent during signup. This information expires annually from the account and so will be re-entered during successive registration periods.

  • Search to find the Program
  • Select the edit button.
  • Navigate to the tab Restrictions
  • Check the grades that have been assigned. Update the grades to be correct.
