Complete an In-Progress Registration

Sometimes, a person is confused about how to register using the Cogran System. Here is how to “pull up” their incomplete registraton form in order to double-check it, see what they see, and help them solve the problem. This works for INCOMPLETE registrations.

  1. Log in as Admin
  2. Click Register Here
  3. You will be in a blank registration form.
  4. First, find an incomplete registration record:
    1. A search form will appear.
    2. Enter the name, first name, or whatever you use as your search criteria in the search field for last name
    3. Click “Search.”
    4. A new screen appears with a list of contacts who meet your search criteria
    5. Click on the correct name to select it
  5. You will be transported back to the regisration form, now populated by the family’s registration form information.
  6. Review this information to make sure it is all filled out and accurate. Make sure that they have filled in the mandatory fields.
  7. Click Participants in the left menu
  8. You will have the option to view the list of participants. Make sure that there is a “youth” and a prime contact. Make sure that this is not the same person. If it is, the issue may be that the parent filled out the household form with their child’s information.  Help them update by changing the information on the household form (click “Household” in the left menu to move back to this step, or click the participant record). Save and continue. 
  9. Repeat this step until the records are correctly filled out for Household prime contact and other household members. Make sure that date of birth, grade, and gender are all accurate and that the youth is eligible for the relevant item. Often, a youth is the wrong age, wrong grade, or wrong gender for a program. Also check region and school. Make sure that all mandatory fields have been filled out. Save and continue. 
  10. Click on Registration in the left menu.
  11. Now, you will see the items for which the registrant is eligible. Do they match expectation? If not:
    1. the registration item may be full.
    2. the registration event may be closed.
    3. the registration event or item may be incorrectly set up
      1.  To check this out, visit Reports>Event Setup to verify that you have the right item restrictions and event parameters set up.
  12. Repeat as needed.
  13. Progress to checkout.
  14. At checkout, click on installments to verify that the installments are working (if using).
  15. At checkout, click Credit Card to verify that your credit card connection is working as expected. If not, call your Cogran rep.

This allows you as admin to tweak this record, but only do this for UNCONFIRMED registrations.
