Introduction to Facility Management

Every facility is different, and every recreation department has different needs. You may have different rooms, different prices, and different uses. That’s why Cogran has a powerful suite of great tools to allow you to create lots of different questions to capture the information you need to run the organization your way.

Public or private? You get to choose. Allow admins to set the rules for which locations are reserved behind the scenes and which are open to the public!

Calendar-First Reservations

Make it simple for members of the public to find events that are currently occurring in your community by publicly displaying your calendar. Display the calendar on the screens in your lobby for a quick overview of programs.

When members of the public want to make a reservation, it’s simple: just click on the date and they are automatically propelled into the registration system. If they already have an account, they simply enter their details. Otherwise, they login and are taken directly to a screen where they can enter their account information.

Choose a Reservable Item, such as a room, field, or cottage

In Cogran, a reservable item can have many different prices depending on when it is available. All facilities can have these features:

  • how many days to end reservations prior to an event
  • how many days to begin reservations prior to an event
  • calendar color
  • choose which days a price applies
  • choose to auto-approve a registration (by default, they are pending until admins approve)
  • resident/non-resident plus other categories, like nonprofit/for-profit pricing
  • automatic resident pricing based on zip codes

Choose a Time Slot or Reserve a Time  of Day

Cogran allows you to choose the best method of reservations for your facility. Each facility can have several different characteristics. For example, a single community center might have different rooms with different prices available.

For example, one room might only be available at certain restricted hours, such as office hours, while a ballroom might be available only on weekends. Cogran allows you the flexibility to manage these variables in a single system.
