Registration Periods and Sessions

Including a facility location is a great way to make it easier for the users to find the right programs, classes, and sports. In addition, the calendar sychs with your organizations facility listings, which avoids issues of double-booking. This is only available for installations using facility management.

Before this is possible, facilities must be created.

INSTRUCTIONS

  • Follow the instructions to select or add a registration period. The Registration Period Setup form populates. Fill out as needed.  (For more, visit: https://www.registerwithcogran.com/basic-registration-setup/)
  • Select the registration period.
  • Click the “go-to” menu
  • Click “Create New.” A modal appears.
  • Add a program. Follow the instructions to add programs.
  • For programs to synch to the facility, these fields must be completed:
  • Basic Information Tab:
    • Start/End Date of Program and Start/End Time. This is required if the program is assigned to a facility, added to a calendar, and if the date and time should be displayed on the program listing. (Required for display on a facility calendar)
    • Session Starts On: Enter a date
    • Day/s of Week: Select from the list
    • Session Ends On: Enter a date
    • Session Starts at This Time: Enter a start time
    • Session Ends at This Time: Enter an end time
    • Blackout Date 1: Enter a date on which this program will not occur
    • Blackout Date 2: Enter a date on which this program will not occur
  • Location Tab:
    • Reserve a Facility for this session: Facilities will populate if set up using Cogran Facility Management. Facilities must be created first to use this feature. Facility will display on session listing.
    • Sync to Facility Calendar: Check to sync this program to an existing facility in your system.
    • Location: Use to indicate a theoretical space or use when there is no facility set up in the system. This will not impact the synch to the facility management system, but may enhance it.
  • SAVE

NOTE: This can also be done via the grid. Toggle from list view to grid view, then update as needed.
