Cogran’s region restriction is a powerful tool designed for organizations with locations in different areas. Note that this is *not* location management.

This restriction is on the participant level to allow for maximal flexibility for adults registering youths for programs in different geographical areas. When the participants make their choice from the region dropdown, they will only see programs that have been assigned to that region.

Programs (items) can be assigned to a single region. Each time the program is added to a registration season (event), the same regional restriction will apply. (For filters at the program level, use the session-style filters on the event).

To set up regional restrictions, there are three simple steps to get ready:

  1. Populate the Region Dropdown.
    1. When you know the regions you plan to use, visit:
      1. Setup>Form Preferences>Set up Dropdown Boxes on a Form
      2. OR Settings>Form Setup>All In-Form Dropdowns
    2. Search for a dropdown named: EventLocCode  Description: Used to restrict events by player at time of regn
    3. Select this item and then update this by clicking on the left menu option: Drop Down List. The placeholder list will appear. Either update or delete the items and add new ones. Be sure to choose a different  code for each item.
    4. Close your Browser (all tabs) to refresh it so that your dropdown displays for the next steps. 
    1. Navigate to PreRegHeader. Visit: Setup>Form Preferences>Update PreRegHeader
    2. OR Settings>Form Setup>Show?Hide Fields on a Form and Access Control, search for PreRegPlayer
    3. Select Form Fields, then scroll to the bottom of the form to see the field EventLocCode.
    4. Set the field to required, if regional restrictions will be required, or optional, if the regional restricitons are optional. The field will automatically display the region dropdown from step one.
  2. Update your Item Form
    1. Scroll to the bottom of the item to see if the field “region” is displayed. If not, visit
      1. Settings>Form Setup>All Forms Show/Hide
      2. OR Setup>Form Preferences>Show/Hide fields on a Form and Access Control
      3. and search for Item.
    2. Select the form, then choose Form Fields from the left menu. Scroll down for EventLocCode, then set to show or required as needed.
  3. Set Regions on your Items
    1. Setup>Event Setup>Item Pricing and Restrictions>Search for the items that you wish to update and select the relevant item, or add a new item.
    2. OR Registrations Settings>Programs>Add a Program or Select a Program
    3. Scroll to view the options on the item form. You should see an item called “region.” Check to make sure your dropdown list is displayed (remember, you may need to close your browser and open it again to make updates to dropdowns display).
