Send a Bulk Email and Text Message to Session Registants

Cogran text messages are designed for communicating with contacts in a blast that reaches their email 1 (the main email), email 2 (the second email on an account), and, if provided, as an SMS messgae on the cell phone number of prime contacts.

In order to send an effective email/SMS, please consider only sending a message subject and a very few words. If more detail is required, send a followup email or direct customers to social media/website updates.

To send SMS messages:

  1. Log into the Cogran Back Office
  2. To send bulk email, chose a report of contacts. All reports that include data about people double as mailing lists.
    • Contact Management, Security >Reports-Email
    • Select the Report: SMS Text Messaging and Email – Session
      • Choose your Registration Period
      • Choose the Sessions that will receive the email. This field is REQUIRED. Note that it is possible to multi-select.
      • If even more refinement is desired, use the filters to find an individual.
    • Click Search
      • A list of contacts will appear.
      • In the menu bar, click the icon that looks like an enveloped next to the words “send email.” This triggers the email function.
      • The email form loads
      • Select a blank template or any template you have created. Do NOT send a branded logo email this time: it does not work well for SMS text messages!
      • In order to send an effective email/SMS, please consider only sending a message subject and a very few words. If more detail is required, send a followup email or direct customers to social media/website updates.
      • If needed, add an email address to receive a copy.
      • Press Send Emails
      • The system will send email and SMS messages to the group.

Note that not all cellular networks deliver SMS messages in a timely way.
