About Archiving

On registration periods and programs, there is an option to “archive.”

Why used: Previously used registration options (programs, memberships, etc.) cannot be deleted because there are previous registrations associated with them. Archiving makes it possible to hide old regisration option from reports, accounting, and management!

When NOT to use archives: Do not archive an item if you want to see it in reports, for refunds, or use it to create another registration season.

How to Archive:

  1. Registration Program>Choose a Registration Option
  2. “Search”
  3. A list of options appears.
  4. Click edit. A form appears.
  5. To archive, click the checkbox “archive.”
  6. Save

How to find an Archived Option:

Archived Registration Options can be found by following these steps:

  1. Registration Setup>Choose your Registration Option
  2. On the search form, there is an option to include archived Registration Options in the search. Check this box.
  3. Click “Search”
  4. A list displays. All of the archived options, as well as other options to meet the search critia, display.

How to Archive a Registration Period

Registration Periods can be archived.

  1. Registration Setup>Registration Period
  2. Search for the Registration Period
  3. Select from the list
  4. Click Edit. When the form populates, click edit. 
  5. Find the option called Archive. Check the box. 
  6. Save
  7. Done
