Cogran Attendance Overview

Cogran offers three easy ways to take attendance!

1. Barcoded Roster with Hand-Scanner

  • How it works: Each participant has a barcode associated with them. During check-in and check-out, the barcode is scanned using a hand-scanner. Barcoded receipts are also available.
  • Benefits: This method is quick and efficient, reducing the likelihood of human error in recording attendance. It is particularly useful in environments where speed and accuracy are critical, such as large events or busy settings.
  • Data Integration: The data collected through barcode scanning is automatically sent to Cogran’s reporting system, ensuring that attendance records are up-to-date and accessible for analysis.

2. Online Check-in and Check-out Grid

  • How it works: Participants or administrators can check in and out using an online interface. This could be a grid or form on a computer or mobile device.
  • Benefits: This method is convenient and flexible, allowing for real-time updates and remote access.
  • Data Integration: Similar to the barcoded method, the data from the online check-in and check-out grid is sent to the same reports, ensuring consistency and ease of access for record-keeping and analysis.

 

3. Paper Form

  • How it works: Attendance is recorded manually on a paper form.
  • Benefits: This method is ideal for low-tech environments where electronic devices may not be available or practical. It is straightforward and reliable without requiring any special equipment.
  • Data Integration: Although the paper form does not automatically send data to the reporting system, the collected information can be manually entered into the system later if needed. This ensures that even in low-tech settings, attendance data can eventually be consolidated with digital records.

Integration and Use Cases

  • Combined Use: The barcoded roster and online check-in/check-out grid are designed to work together, sending data to the same reports. This means that an organization can use both methods simultaneously to accommodate different needs while maintaining a unified attendance record.
  • Low-Tech Option: The paper form provides a viable solution for settings where electronic methods are not feasible, ensuring that attendance tracking is still possible without reliance on technology.

By offering these three methods, Cogran ensures flexibility and adaptability in attendance tracking, catering to a wide range of environments and technological capabilities.
