Cogran allows registration for programs to be restricted age, grade, and gender. This option is available for programs and memberships. Eligibility applies automatically during registration, when a customer enters the information about their participant. Programs in a customer’s cart may not be available to every participant.
When used: To ensure that the right participant finds it simple to register for the right program.
AGES require an age cutoff date, which is set on the Registration Period. (See below for more details). GRADES and GENDER are matched on the specific information entered about a participant.
Instructions:
- Registration Options
- Choose the Registration Option that requires eligiblity
- Search>Create New or select an existing
- Select the edit button
- The form appears. Fill out the name of the Registration Option and other informaton.
- Navigate to the ELIGIBILITY tab
- Age From: Set younger age of the age range that is eligible to register for this program. This information will display on the public web page, and once a user is logged in, this information will validate against a registrant’s data to prevent registrations for the incorrect program. (ALSO REQUIRED: Age group cutoff date on the Registraiton Period)
- Age To: Set the older age of the age range that is eligible to register for this program. This information will display on the public web page, and once a user is logged in, this information will validate against a registrant’s data to prevent registrations for the incorrect program. (ALSO REQUIRED: Age group cutoff date on the Registraiton Period)
- Grade From: Set earliest grade of the age range that is eligible to register for this program. This information will display on the public web page, and once a user is logged in, this information will validate against a registrant’s data to prevent registrations for the incorrect program.
- Grade To: Set the later grade of the age range that is eligible to register for this program. This information will display on the public web page, and once a user is logged in, this information will validate against a registrant’s data to prevent registrations for the incorrect program.
- Gender: If this program is only for a particular gender, select it here. This information will display on the public web page, and once a user is logged in, this information will validate against a registrant’s data to prevent registrations for the incorrect program.
- Save.
This Registration Option can now be offered in a Registration Period.
Age Cutoff Date
Cogran automatically calulates that a participant is eligible for a program. Participants enter a birthdate, and Cogran calculates current age at the time of this date to ensure programs are evergreen and eligibility is alway current.
If an age is set on the program, the participant’s birthday must be on or before this date in the relevant year. The age on the program plus this date will filter the participants eligibility for the programs in this registration period.
INSTRUCTIONS:
- Registration Setup>Registration Periods
- Search.
- Click “create new” or select an existing Registration Period
- The Registration Period Setup form populates. Fill out the name of Registration Period and other information.
- Navigate to the Eligbility Tab
- Enter the Age Cutoff Date.
