Updating the Registration Form
At the heart of a registration system is the all-important registration form! These instructions are how to update it, as well as some useful tips to make sure the data you are collecting winds up in the right place later!
Tip: Cogran has many fields, and it can inviting to use them all! But even so, Cogran recommends using as simple a registration form as possible. This will allow you to register for more types of occasions, instead of just camp, for example, with extensive health forms. If necessary, it can be useful to add those fields to the participant profile to fill out later, or even a “paper” (PDF) form to view.
- Front Page, Cards, and Media Library
- Registration Form Designer
- A new form appears
- Select and search:
- Registration: Participant Contact: updates the participant form, for campers, players, and others. Note that adults and youths share the same form! This form collects data like age, vaccinations, school, and shirt size. Custom fields used here will post on the contact.
- Registration: Prime Contact: this updates the household form. This information is shared by all participants in a household, so it is a great place to gather shared info like pickup contacts, doctors, and insurance info. It is also where info like address, phone number, and similar are usually gathered! Custom fields used here will post on the Household.
- Account Profile: This form will automatically inherit changes from the Participant Contact form, but can be edited to gather more or less information if desired
- Reservation (Facility) Participant Contact: updates the participant form for the reservation process. This often gathers the zip code and a group ID.
- Reservation (Facility) Prime Contact: this updates the household form for the reservation process. This gathers the address and other information about the person making the reservation. This is usually the same person as the Participant Contact in the facility reservation process.
Editing the Form
- A new form loads. This form allows you to make changes to the field names, show them, make them required, and add a dropdown content to them! For quick updates, change the view of this form to “grid.”
- This registration form includes many standard fields. If gathering this information, please use the standard fields. These will populate reports designed for this purpose!
- To collect custom information, use the many custom fields available.
- Custom fields are designed to be used as fill in the blank or modal (dropdown) boxes.
- Questions are designed to be used as checkboxes or yes/no answers.
- When updating the fields, a WYSIWYG editor is available so that questions can be bolded, have links to waivers, and more.
- Cogran fields support hotlinks! To add Hotlinks to waivers: (Step one: Add your PDF to the media library and save the URL–read more)
- Click on the link icon.
- A form appears.
- Enter the text to display (if text is selected, it will appear here)
- Paste the waiver URL and then click the second tab, Target. Choose “Blank” for your target. This will mean the new page opens in a new tab, instead of replacing the Cogran tab in their browser
